TERMS & CONDITIONS OF VENUE HIRE


1. PAYMENT SCHEDULE

SECURITY DEPOSIT:

Confirmation of your booking with a $500 security deposit for the Hall OR event booking with a $300 security deposit for the Conference Room is required within 14 days of our quote. Booking may be released without notice if payment is not received in time. The security deposit will be held until after the event, and refunded when all relevant charges have been paid. No access will be permitted unless payment has been made in full.


EIGHT WEEKS PRIOR:

All ceremony details including time, catering, entertainment and decorations are to be confirmed with our management by this time. Any deviation from these arrangements may incur additional charges.

SIX WEEKS PRIOR:

Full payment of all functions, catering and any outstanding extras are to be paid at this time and a final number of attendees is to be confirmed and fixed. Booking may be released without notice if payment is not received in time.

2. CANCELLATION BY YOU

(a) We regret to inform you that any cancellation of your event cannot be accommodated once confirmed.
This policy ensures that we can maintain the integrity of our booking schedule and provide a consistent experience for all our guests.

(b) We rely on bookings made well in advance to effectively manage our venue and provide the best experience for all our guests. Cancellations can significantly impact our ability to accommodate other reservations. Therefore, this cancellation fee helps us mitigate the financial impact on our venue. Thank you for your understanding and cooperation.

(c) Depending on when you cancel, the cancellation charges you must pay will be determined by reference to the details below.

Length of time before your event and cancellation charge:

i)
Less than 6 months from your event date: 100% of your deposit ($500.00) and 50% of your rental fee.
ii)
More than 6 months from your event date: Only your security deposit ($500.00) will be retained, and your rental fee will be 100% refunded.

3. CANCELLATION BY US

AnNaura reserves the right to cancel your booking without liability to you and without any obligation to refund your deposit if:
i) You do not pay us the balance of your wedding package price by the date due for such payment.
ii)
We have reasonable grounds to believe that you may not pay us the balance of your wedding package price by the due date and we have requested you to explain the position and you have not done so satisfactorily.
iii)
We discover that you have deliberately concealed information, or deliberately given us incorrect information.
iv)
We have reasonable grounds to believe that your behaviour or that of your guests at the wedding/celebration is likely to result in damage to the venue or our property and/or injury to people.

If we cancel your booking, you must pay us any losses and costs we suffer because of the cancellation which were reasonably foreseeable to both you and us when the contract was entered into.

4. REFUND

(a) If we are obliged to close the Venue or Premises due to Government restrictions, or if we decide to close them due to our safety concerns, we will seek to agree with you on an alternative date for the Event. If that cannot be agreed your booking will be cancelled and your Deposit will be returned. We will have no liability to you in connection with any such changes in date or cancellation.

(b) If your refund is approved, it will be returned within 60 working days after the submission of Refund Forms. However, if you do not receive your refund, you may contact our hotline at +673 742 2702 or reach us via email at thenaurahall@gmail.com.

5. RESCHEDULING

If you find it necessary to reschedule your event date due to unforeseen circumstances, we kindly request that you complete the rescheduling process no later than 180 days (or 6 months) before your original date. If the rescheduling request is made less than 180 days (or 6 months) from the original date, a rescheduling fee of $100.00 will be applicable.

6. THE VENUE, ACCESS AND OCCUPATION

(a) You may only occupy the Venue during the agreed Hire Period, which will include set up and break down time. We may charge an overrun fee if you or any Attendees occupy the Venue beyond the Hire Period.

(b) Delegates may only arrive at the Premises at the Event Start Time. We will specify any areas of the Venue and/or Premises which can be used for preparation or setup for the Event and any permitted times for setup.

(c) No changes, additions or alterations in or to the Venue (interior or exterior) and/or the contents thereof may be made except as agreed in writing in advance by us, all of which shall be temporary only and strictly necessary for the Event. You are not allowed to erect scaffolding or affix screws or nails to any building, structure or object at the Venue or the Premises without our prior written consent.

(d) No equipment or structures of any kind may be erected on or attached to any part of the Venue, its contents or our equipment without our prior written approval.

(e) Furniture, paintings, display cases or other contents in or at the Premises may not be moved without our prior written consent, and then only by our staff or under their direct supervision and at your additional cost.

(f) We may substitute and otherwise alter displays of art and/or objects in the Venue at any time without prior notice and liability to you.

(e) We may insist on the immediate departure of any Attendee from the Venue and/or the Premises if we consider that the conduct or behaviour of that person is unacceptable.

(f) We may enter any part of the Venue at any time during the Hire Period and interrupt or terminate the Event, without liability to you, if we believe that the structure or content of the Venue and/or the Premises is at risk of damage or the safety of the Attendees or other persons are at risk.
 


7. PUBLICITY

(a) Except as necessary for inviting and directing Attendees to the Event, you may not use the name of the Venue without our prior written consent.

(b) You may not use any trademark or logo of the AnNaura in any advertising or publicity or for any other purpose without our prior written approval of the intended use (including its form and medium).

(c) You may not advertise the Event to the public by any means without our prior written approval.

(d) If photography or videography services are acquired, AnNaura reserve the right to use the original photos or videos or reproductions of such for display or promotional purposes.


8. REMOVAL AND RESTORATION

(a) You shall be responsible for all costs of fully restoring and reinstating the Venue to its condition prior to the Hire Period. Unless otherwise agreed, we shall undertake any repairs, reinstatements or restorations ourselves and pass all costs incurred on to you, which may include the costs of specialist craftspeople or consultants.

(b) We accept no responsibility for any items or articles brought to the Venue and/or Premises by any Attendee or for any item or articles left at the Venue and/or Premises following the conclusion of the Event. We may remove and dispose of anything left at the Venue and/or Premises after the Hire Period.


9. DISCLAIMER

AnNaura shall not be responsible for its failure to perform its contracted duties due to adverse weather conditions, COVID19 SOP Violations, equipment failure, unforeseen events that inhibit or otherwise affect performance or other circumstances beyond its control. Client agrees to hold AnNaura, its employees, and subcontractors harmless from all liabilities, claims, damages and expenses relating to services arising out of this agreement.


10. AGREEMENT

This Agreement constitutes the entire agreement between Renter and Owner and supersedes any prior understanding or representation of any kind preceding the date of this Agreement. There are no other promises, conditions, understandings or other agreements, whether oral or written, relating to the subject matter of this Agreement. IN WITNESS WHEREOF, the parties have caused this Agreement to be executed on ____/____/_______.
